Expectations
We expect everyone in the team to be logging at least 6.5 up to 8 hours of time every day (billable and non-billable), which calculates to 32.5 to 40 hours logged for a normal 40 hour work week per individual.
Importance of tracking time
Clients are paying Amped Visibility for time spent building their websites and increasing organic traffic/conversions. As such we need to know what time is spent on each task per client.
Time tracking is important to make certain we are working all the hours the client is paying for. Conversely we do not want to egregiously work over the clients budget, we need to invoice the client for extra work outside the scope of their monthly budget.
Another benefit of tracking time is it can help with estimating time for commonly completed tasks. Without knowing the average time it takes to complete a specific task we may be under or over estimating time. By being consistent with time tracking we will gain a good understanding of the time it takes to complete a specific task and we’ll be able to estimate time more accurately in the future.
Add a Description to your time logs
When adding time to any time to ClickUp, you must add a short Description of the task you performed.
A short description is fine, for example “Added webpage to site, pushed it live”, “Content review, needs a second review”, etc. If you run into an issue with a task, a longer description would be more likely.
Billable time
Billable time is time you spend on a specific client task you’ve been assigned to.
Enter your billable time under the task you are working on. Please add a brief description of what you worked on, keep it short. Example “Added new page to website”, “Wrote blog content”, “Fixed xyz issue on website.com”, “started writing content 70% done”, etc.
Be sure to make a note if you run into an issue and you go over the tasks time estimate. And if you believe you will likely go way over the time estimate, please discuss with your manager right away so it can be amended.
Non-billable time
At this point, there should be very little to no tasks that are non-billable (unless directed by your manager).
Non-billable time is classified as time you’ve spent that is not tracked under a client task. Example; training, creating processes for Amped Visibility, or anything not directly related to a clients task.
If you do have non-billable time, please enter your time under this shared task: https://app.clickup.com/t/t18urq please be descriptive as to why it is not billable.
A few notes
We know tracking time can be difficult and not the most fun thing to do. We encourage you to use the time tracking timer tool within ClickUp to help manage time tracking and make it easier.
There are cases where the timer tool can be forgotten, If you forgot to start the timer on a specific task and are needing to account for that activity please estimate as best as you can by adding time manually. Conversely, if you forgot to stop the timer on a task and it ran too long, you can edit the time log accordingly (though we’d prefer logs are edited only when needed).
The goal with time tracking is not to micromanage your day. Ideally we wouldn’t have to track time at all, however as mentioned above our business model is based on charging clients for hours worked, so it is a necessity. Note, we do not expect you to track breaks, trips to the kitchen, quick personal calls, time between tasks, etc., when we estimate time on tasks, we add a little extra to account for this.
